If you have decided to use your existing sourcing channels to promote roles to Candidates, you will need to direct candidates to Hatch as a secondary step in the process. There are two main ways this can be done:

  1. Directly from Job Boards (LinkedIn, Seek, Indeed etc.) - by amending the link in your Job Posting so that when a Candidate hits 'Apply' they are directed to Hatch
  2. From your ATS (Lever, Greenhouse, Workable etc.) - by sending Candidates an automated email, notifying them that their application has been received (via the Job Board or your Careers Page) and directing them to Hatch

Recommended Approach - To ensure the best level of candidate engagement and to reduce drop-off, we have found that #2 is the best approach, if you have an ATS available.

Note: If you are posting on Seek and don't have the ability to include a link to Hatch in your Job Posting / Job Ad (as a result of the plan that you are on) or an ATS where applications are captured, you will need to manually trigger emails to candidates from within Seek itself (see Option 2(b) below)

No ATS - How to Set Up Your Job Postings / Ads

There are a number of Job Boards available for you to post your role on - LinkedIn, Seek, Indeed, Glassdoor, Stack Overflow and many more.

We have focused on an initial (and common list) of Job Boards below. If you are using another Job Board and would like to discuss how to direct Candidates to Hatch from that platform, we are happy to walk through that with you in more detail. LinkedIn

Using LinkedIn Recruiter (Lite)

  • Follow the approach here - https://www.linkedin.com/help/linkedin/answer/1735
  • Then at Step #9 - Select 'Direct applicants to an external site to apply' - where you should add the Hatch application link provided by our CS team. At the same time remember to de-select ‘Let candidates apply with their LinkedIn profile and notify me by email’

Not Using LinkedIn Recruiter

  • Follow approach here - https://www.linkedin.com/help/linkedin/answer/166/
  • Then at Step #3 - Under the 'How would you like to receive your applicants?' section select 'Direct applicants to an external site to apply' - where you should add the Hatch application link provided by our CS team. At the same time remember to de-select ‘Let candidates apply with their LinkedIn profile and notify me by email’

Seek

Third-Party Link Not Available

  • You will not have the ability to direct candidates to an external (third-party) site such as Hatch if you are on a lower tier plan with Seek. This means you will need to email candidates directly from inside Seek, once they have completed their initial Seek Applications
  • The SEEK Advertiser Centre allows you to easily bulk email your candidates. On the top left of the list of candidates, there's a check box to select 'All' candidates sitting within that folder. When you press 'Email' a box will open up and using the message box, type your message. You can choose whether or not to ‘enable replies’. Having [firstname] in your message means the candidate's name will automatically populate, ensuring personalisation. See here
  • Hatch's CS team can provide you with a draft email to include here if that's preferable

Third-Party Link Not Available

  • If you are on a higher tiered plan with Seek, you will be able to link out a external (third-party) site such as Hatch
  • To do this, go to 'Application Preferences' and select 'Via Your Company Website' as the option for how you want applicants to apply, then add the Hatch application link provided by our CS team in the 'Application form URL' field

Indeed

  • To enable applicants to be able to be redirected when they 'Apply' via Indeed, you will need to contact Indeed to explore if this functionality can be unlocked for your company. For more information on this, please see Indeed's FAQs here
  • If this functionality is unlocked, you will be able to replace the URL to you company careers page with a the link to your Hatch Application

Glassdoor

Indeed + Glassdoor

  • As part of the Glassdoor + Indeed partnership, Indeed will begin offering clients access to job seeker audiences on both Glassdoor and Indeed through Indeed job advertising solutions. This means that when you post jobs on Indeed, they will also appear on Glassdoor, offering you access to both job seeker audiences through one account relationship.
  • This means that the same approach applies as outlined above for Indeed

Directly on Glassdoor

  • At Step #2 below the 'Enter Your Job Description Field' change the default setting to 'Job Listing URL on Your Career Site' and add the Hatch application link provided by our CS team into this field

Stack Overflow

  • When creating and posting a job listing (in line with Stack Overflow's process) you can add the Hatch application link provided by our CS team into the 'Provide the URL to a job in your ATS' field - Step #11

Using Your ATS - Setting Up Automated Emails

If you are posting your role to Job Boards via your ATS, you will need to send an automated email to those who apply via various Job Boards once they are captured in your ATS. The setup of this email will differ depending on the ATS that you use. We have outlined the process for three ATS platforms below. If you are using another ATS and would like to discuss how to send automated emails to Candidates from that platform, we are happy to walk through that with you in more detail. The benefit of this approach, where Hatch acts as the secondary step, once Candidates are captured in your ATS is that you can ensure Candidates from all of the below sources are directed to the Hatch application, including:

  • Internal Applications (through your Careers Page)
  • Referrals that get logged directly into your ATS
  • External Applications via Job Boards

Note: You will likely require an Admin license to be able to take the below actions. If you are not an Admin for your ATS, it is advised that you reach out to your HR/Talent team to support this step.

Greenhouse

To set up an automated email to Candidates you can follow the steps outlined in this FAQs document. The available email template in Greenhouse that best aligns with this communication is the 'Tank you for Applying' email. To configure this you:

  • Select ‘Configure’
  • ‘Email Templates'
  • ‘Edit Template’ - then add the Hatch application link provided by our CS team into your existing template or leverage the draft template above.

Lever

To set up an automated email to Candidates Lever has outlined the following steps in this FAQ document. To create and use a new template you can:

  • Go to ‘Settings’
  • ‘Email Templates’
  • ‘New Team Template'
  • Amend the ‘Responding Email’ template to be the 'Hatch Application' template, by adding Hatch application link provided by our CS team into the newly created 'Hatch Application' template. Note you can use the draft email above, if you want to create a new template from scratch.

As a final step in Lever, you will then need to go back to the 'Candidates' tab and select the relevant role, select all ‘Applicants’ and send to them using the ‘Hatch template’.

Workable

To set up an automated email to Candidates you will first need to create a new template to use. The following FAQ document talks through this process in more detail. To create and use a new template you can:

  • Go to ‘Settings’
  • ‘Templates’
  • ‘Add New Template'
  • Create a new 'Hatch Application' template and add the Hatch application link provided by our CS team. Note you can also use the draft email above, if you want to create a new template from scratch.

As a final step in Workable, you will then need to go back and send a bulk email to all candidates who have applied to the role via the following process.
