How to submit timesheets?

Completing, submitting and getting your timesheets approved so you can be paid on time.

Once you've started working you'll need to log your hours throughout the week and submit your timesheet by Friday end of day. To get paid on time your manager needs to approve your timesheets by Tuesday 9 AM!

πŸ’» Log into Xemplo

Make sure you are set up on Xemplo before you try to submit a timesheet. You can learn more about getting set up here. You can submit your timesheets in your browser (https://hatch.xemplo.com) or using the Xemplo app.

When you log into Xemplo, your Home Page will show you the most important actions you need to complete regarding your timesheets so that you get paid correctly. These critical actions will be highlighted in red.

Timesheets that are due for submission will be automatically generated and appear in your Action Items list when they are ready to be completed. This will occur at least 1 day before the start of each pay period.

πŸ•™ Completing hours

Click on the relevant timesheet and use the drop downs to identify which days and how many hours you worked.

You can use "..." on the right hand side of each day to copy the entries to the rest of the timesheet, or to fill a blank day with entries from another day.

Your timesheet will save as you complete it, so we recommend filling out your hours throughout the week and only submitting at the end of the week.

If you are a Woolworths or WooliesX intern...

Make sure your Xemplo timesheet matches your CATS timesheet exactly (including breaks) so your timesheet equals to an 8 hour period. Then submit a screenshot of your CATS timesheet in the additional comments section of your Xemplo timesheet.

✏️ Log any expenses

Add any of your expenses under "Expenses Claims". Include a clear description and amount incurred, as well as an image showing proof of payment. You'll receive this reimbursement in your upcoming fortnight's pay run.

πŸ”Ž Check your hours

Any hours that you work beyond 7am - 7pm Monday to Friday (or beyond 38 hours per week) will incur an additional charge to your employer. Please check-in with your manager before working on a weekend or beyond 38 hours per week.

Remember, do not log work on a public holiday unless you worked then. This is especially important if you set your timesheet to repeat.

βœ… Submit!

If everything looks good, press submit! If you work the same hours every week, you can mark your timesheet as reoccurring so you don't have to repeatedly complete it.

While a timesheet is in the Submitted status, you can reopen it and make changes if you need to. You can do this by heading to Timesheets and adjusting the filters until you find the relevant timesheet. You can find all of your timesheets and their status here.

However, once it is Approved you will no longer be able to make changes.

After a timesheet is approved by your manager it will go to Xemplo to be verified. Once it is Verified it will be paid in the next pay run.

πŸ’Έ Get paid!

You get paid fortnightly on Thursdays. Depending on when you start in the payment cycle, the first payment will sometimes take 3 weeks.
