Congratulations on being hired! Before you can start, there are a few things to set up. This guide walks you through each of them.
You’re employed through Hatch on an on-hired basis. That means Hatch is your official employer and looks after your contract, timesheets and pay, while you work day to day with the host organisation. Anything specific to your role – your start date, pay rate and working pattern – is set out in your employment contract and in messages from your manager.

Xemplo and WorkPro are two separate systems and you need to complete both. You can’t be paid until you’ve registered with Xemplo, and you can’t start work until WorkPro is done.

Step 1: Register with Xemplo
Xemplo is Hatch’s employee timesheet and payroll system.
Activate your account
Within a few days of accepting your role you’ll be invited by email to join Xemplo. The email comes from info@xemplo.com — check your junk folder if you can’t find it, and email ask@hatch.team if it hasn’t arrived.
Click Activate to activate your account and set a password. Remember the email address and password you use, because you’ll need them every time you log in.
Sign your employment documents
You’ll be presented with your letter of assignment and your employment contract. Read them carefully, then sign them digitally. They stay available in your Xemplo account if you need them later.
Review and update your personal information
You’ll then be taken through:

Tax declaration
Bank account details, where your pay will go
Superannuation details, if you’re employed in Australia

You can choose whether to claim the tax-free threshold for this role. The tax-free threshold is an amount of income the government has declared tax free, currently $18,200 a year.
If you don’t have a Tax File Number, apply for one as soon as possible – you have 28 days from starting to provide it. You can apply for a TFN on the ATO website.
Superannuation
You’ll be asked for your fund name, Unique Superannuation Identifier (USI) and member number. You can find your USI on your fund’s website, on your member statement, or by contacting your fund directly.
If you don’t have a super fund, you can select Hatch’s default – a low-fee fund we set up with AMP. You have 28 days to nominate your own fund before you’re defaulted into it.
Finalise and submit
Submitting requires two-factor authentication. A code is sent to the mobile number you provided; enter it exactly as it appears, including any letters in the same case.
Your onboarding is then reviewed. You won’t be able to log into Xemplo while the review is in progress. You’ll be notified once it’s approved, or if anything needs correcting.
Once approved, you can log in and start logging your hours. Here’s how to submit timesheets.
Step 2: Complete WorkPro
WorkPro is separate from Xemplo, and it’s also required. You’ll receive login details by email in the first few days. Once you’re signed up, complete:
The two training modules, including mandatory Work Health & Safety training
The citizenship and working rights check, so you’re legally ready to work
A police check, if your role requires one
Allow about an hour to get through all of it.
Step 3: Log your onboarding hours
Your onboarding takes about two hours in total. Log these two hours on your first timesheet – this time is paid.
Log them any time between 7:00 AM and 7:00 PM, Monday to Friday, without exceeding 8 hours in a day.
Always request your manager’s permission before working outside 7:00 AM – 7:00 PM, Monday to Friday, or over 38 hours a week – these attract overtime rates.
Important Do not log hours on a public holiday or weekend unless you have actually worked on those days. |
Claiming back a required check
Some host organisations require a security or background check before you can start, and ask you to pay for it upfront. If this applies, your offer will tell you what’s required and what it costs.
You can claim the cost back as an expense on one of your timesheets:
Log into your Xemplo account.
Select your most recent timesheet.
Find the Expenses Claims section.
Enter a description for the reimbursement and the amount incurred, and attach a receipt or screenshot of the payment.
You should receive your reimbursement in the upcoming fortnight’s pay run.

FAQs
What does being employed on an on-hired basis mean?
Hatch contracts you to perform work for a host organisation – the company associated with the role. Hatch is your legal employer; the host organisation is where you work.
When do I get paid?
You are paid fortnightly on a Thursday. Depending on which week in the cycle you join, your first payment may take up to 3 weeks.
Make sure you’ve completed all your billing and tax information in Xemplo, otherwise we can’t process your pay. To be paid on time, your manager needs to approve your timesheet by Monday morning. We send them reminders, but if it hasn’t been approved by then, feel free to give them a nudge.
What’s the payment process?
Hatch employs you and contracts you to the host organisation. You’re paid an hourly rate, plus superannuation, for the hours you log and your manager approves. Your rate is set out in your employment contract and varies by role, depending on the work involved and the relevant award.
When is my super paid?
Super is paid into your nominated fund with each pay run, rather than at the end of each quarter. This changed on 1 July 2026, when new payday super rules came into effect across Australia.
Why can’t I log into Xemplo?
If you’ve just submitted your onboarding, your access is paused while it’s reviewed. You’ll be notified once it’s approved, or if something needs correcting. If you’re still locked out after that, email ask@hatch.team.
