For student jobs, you send offers straight from Hatch. For direct hire jobs, you make offers through your own process.
Before you send an offer đ
Double check where your hire will be working. Hatch can't employ anyone located in the ACT or overseas, so you won't be able to send them an offer. See where we operate.
Sending an offer âď¸
On the candidate's application, click Send offer. You'll set the placement terms on the right, and see a summary of the offer on the left as you go.
The placement
Employment dates: pick the start and end date on the calendar.
Approx. hours per week
Pay rate: choose the type of hire (a current student, a general graduate, or a science, engineering or technology graduate), then set the Rate per hour (AUD). It needs to be at or above the award rate, and you'll see roughly what you'll be charged per hour straight away. See the rates for each type of hire.
Work location: the city your Hatchie will be working in.
Duties: a short description of what they'll be doing.
Billing and timesheets
Billing email: where invoices go. Add a Billing email (CC) if someone else needs a copy.
Timesheet approver: name, email and mobile of the person who'll approve timesheets. Select Use my details if that's you.
Messages
Personal message: a short note to your candidate. We've pre-filled it, but you can edit it to suit the job and the person (up to 1,000 characters).
Team notes: optional notes only you and your hiring team can see.
When you're ready, tick I'm authorised to accept Hatch's Customer Agreement on behalf of this company, then press and hold Send offer.
â ď¸ Offers can't be withdrawn once they're sent, so double-check the dates, hours and pay before you send. If the terms need to change after you've sent it, email ask@hatch.team.
Not sure about a section? Reach out to your Hatch contact.
Your fee estimate đľ
Once you've chosen a pay rate, the summary shows what you'll be charged:
Fees: your hourly charge, including your Hatchie's pay, plus their superannuation, payroll tax, workers compensation insurance and the Hatch fee.
Estimated total: your hourly charge Ă the expected hours for the whole placement, excluding GST. Select View quote to see how it's worked out.
Your estimated total is what your prepayment invoices are based on.
Want the full breakdown? See How much students are paid and what you're charged, or ask your Hatch contact.
Tracking offer status đ
Your candidate needs to accept before the placement is confirmed. Their application status updates as they respond:
Offer received: sent, and waiting on the candidate.
Offer accepted: they're in, and they're now your Hatchie. Onboarding starts next.
Offer declined: they've turned it down.
You can send offers to more than one candidate at a time, so there's no need to wait on one response before offering to someone else.
After your candidate accepts đ
As soon as they accept, your Hatchie gets an email with everything they need to get set up. Before they can start, they'll need to finish two things:
Xemplo (30â45 minutes): our payroll system. They sign their employment documents and add their tax, bank and super details.
WorkPro (about 1 hour): Work Health and Safety training and a working rights check.
They can't start work until both are done. In the meantime, reach out to confirm their start date, where to go and anything to bring. Hatch takes care of their contract, pay and compliance from here.
Getting set up for your Hatch placement has the full steps your Hatchie follows.
đĄ Does an offer use up my plan's placements? Only once it's accepted. Sending an offer, or having one declined, doesn't count towards your limit. See plans
If a candidate declines
You can send a new offer to the same person on different terms, or offer someone else straight away from their application. A declined offer doesn't count towards your plan's placements.
Direct hire jobs: making offers outside Hatch đź
For direct hire jobs, you're the employer, so you make offers and handle contracts through your own process. Hatch doesn't send offers for direct hire jobs.
